In this article, we’ll learn how to void a CIM invoice and re-invoice the voided amount.
Void CIM Invoice
In general, a CIM invoice is synced to an accounting system once it's marked as submitted in Fieldclix: when you fill in the submitted date in the Invoice card.
- The invoice will then be marked as “synced.”
- In the accounting system, this invoice can be paid or voided.
Once this is done, the invoice is pushed to FCX during the next sync session. The FCX system updates the invoice stage and fills in the paid/rejected dates.
- If paid → the status becomes “paid”, and the paid amount moves from the Receivable part to Paid in the related Sales Order.
- If voided → the status becomes “rejected”, and the voided amount is cleared from the Receivable amount in the related Sales Order.
- This amount can then be re-invoiced.
Re-invoice
To re-invoice, as usual, go to the relevant Sales Order:
- Enter the amount to be invoiced in the “Ready to Invoice” column.
- Click Save.
- Click Create Invoice on the top bar.
- Click Yes in the confirmation window.
- In the opened CIM Invoice card, revise the invoice and proceed as usual: print the invoice and submit it to the customer.
Voiding an invoice cancels a particular payment or invoice. Voiding an invoice will keep the invoice number in the accounting system.
What if I need to use the same number as the voided invoice?
In this case, we recommend removing the voided invoice from the accounting system. Then, you should ask us to remove the rejected invoice in FCX.
