How to Create a Customer - Options Summary

There are three ways to create a customer:

  1. During Build Plan generation in FCX Web — click + next to Customer on the New Build Plan card. Creates a simple record (name and abbreviation only). Available only when your instance does not require QuickBooks-synced customers for GBP, and only for Project Library Manager.
  2. From the Customers dashboard in the web portal (+ ADD CUSTOMER).
  3. In the Customers reference (FCX Desktop) — open Customers reference →  Create Record, and complete the full customer card. Requires Desktop Integration and permission to create customers.

Use option 3 for a complete customer setup. Option 1 is for a quick add while generating a Build Plan.






Access rights — Customers

It depends on where you open or create the customer and which roles you have.

Synced customers: fields that come from accounting stay locked for everyone. Change them in QuickBooks (or your accounting system), then sync.






Who Can Create a Customer?

During GBP in FCX Web

  • If your company uses QuickBooks-synced customers for Build Plan generation, you can only choose customers that already exist in QuickBooks and are linked in Fieldclix. You cannot create a new customer with + on the Web form.
  • If that restriction is off, Project Library Manager or Accountant and Bookkeeper can create a simple customer (name and abbreviation) with + during GBP.



In the Customers dashboard (FCX Web) and Customers reference (FCX Desktop)

  • Users who are allowed to create records in the Customers dashboard and reference can add a full customer.
  • Typically that includes Accountant and Bookkeeper and Project Library Manager, but access depends on how your administrator configured permissions.

Granting create access on Customers usually means the user can see all customers, not only ones they created.






Customers dashboard (web)

Use the web portal when you need the full Customers library — browse every customer, open a card from the list, or create a new customer.

Library access: Accountant and Bookkeeper or Project Library Manager — dashboard, create (ADD CUSTOMER), and edit. Everyone else views Customer from related records (Build Plan, Sales Order, and similar).




Where to find it

  1. Sign in to the Fieldclix web portal.
  2. Open the side menu → CIM.
  3. Click Customers.

You see a grid of customers (Name, Status, Synced, abbreviation, category, account number, responsible, payment terms, addresses, and related fields).

What you can do on the Customers dashboard: browse, search, open a customer card, create a new customer, export, etc.


On the Customer card (web)

  • Enter name, abbreviation, print name, category, account number, responsible, payment terms, comments.
    • Billing and shipping addresses are usually added inside accounting systems. However, if required, you can open the desktop Customer card to make edits.

How to Create a Customer - Details

Create Simple Customer During GBP

Use + next to Customer on the New Build Plan card.


You need

  • Your instance does not limit GBP to QuickBooks-synced customers.
  • Project Library Manager or Accountant and Bookkeeper role (and permission to run GBP, e.g. Can generate BPs).

You enter

  • Name (required, unique)
  • Abbr (required)

The new customer is selected on the request automatically. Other customer details stay empty until someone completes the customer card on desktop.


You can do this as illustrated below:





Create a Customer via Customers dashboard

To do this:

  1. Open the Customers dashboard
  2. Click + ADD CUSTOMER
  3. Fill all required fields and save

The customer can sync to accounting later if that integration is enabled (see Push Customer to the Accounting System below).






Create Customer via Customer Reference

To do this:

  1. Ensure Desktop Integration is turned-on
  2. Open Quick Launch and search for "Customer" - Open the Reference
  3. In the Reference, in the upper left corner, click "Create Record" to add a Customer
  4. Fill all required fields and save

The customer can sync to accounting later if that integration is enabled (see Push Customer to the Accounting System above).








Push Customer to the Accounting System

Saving a customer in Fieldclix does not instantly create it in QuickBooks or another accounting system. That happens through your company’s accounting integration, when it runs.


Typical flow

  1. Someone creates a customer in Fieldclix (during GBP or in the Customers reference).
  2. If customer sync to accounting is enabled on your instance, the integration picks up customers that are not yet linked and creates or matches them in QuickBooks (Desktop or Online, depending on your setup).
  3. After a successful sync, the customer is linked. Only linked customers appear in GBP when your company requires QuickBooks-synced customers for Build Plan generation.

Practical notes

  • A customer added during GBP or dashboard can be used in Fieldclix right away, but may not exist in accounting until sync completes.
  • If your company requires synced customers for GBP, create or sync the customer in QuickBooks first, then select it when generating a Build Plan.

Make a synced Customer approved for Generate Build Plan

Customers synced from QuickBooks into Fieldclix are not always ready to pick on Generate Build Plan (GBP) / New Build Plan.


To select a Customer on GBP, the Customer record must be approved. That means all mandatory fields on the Customer card must be filled.

When customers sync from QuickBooks, Abbreviation (Abbr) is often empty. Abbr is mandatory in Fieldclix. Until you fill it (and any other required fields), the record stays unapproved and does not appear in the Customer picker for a new Build Plan.

What to do

  1. Open the Customer (from CIM → Customers, or from a related record — editing needs library roles).
  2. Fill Abbreviation and any other required fields marked with * on the card.
  3. Save so the record becomes approved.
  4. Return to Generate Build Plan / New Build Plan — the Customer is now available to select.

Tip: Synced fields that come from QuickBooks may stay locked. Abbreviation is a Fieldclix field you complete after sync so the Customer can be used in GBP.






Q&A

Q: How do I create a Customer?

A: Three ways: (1) during Generate Build Plan when create is enabled, (2) web CIM Customers ADD CUSTOMER, (3) desktop Quick Launch → Customers Create Record.


Q: Who can manage the Customers library and edit Customer cards?

Q: Why don’t I see a synced Customer in Generate Build Plan / New Build Plan?

A: The Customer must be approved. Fill all mandatory fields — especially Abbreviation after a QuickBooks sync — then save. Until then, the Customer will not be available for selection.


Q: I do not see Customers in the menu. Why?

A: The library is for Accountant and Bookkeeper or Project Library Manager. Other users open Customer from related records instead.


Q: I can open the Customer card but cannot save. Why?

A: Create/edit needs Accountant and Bookkeeper or Project Library Manager. If Synced is on, fields that come from accounting stay locked even for editors — but you can still fill Fieldclix-only required fields such as Abbreviation, Comments when you have edit rights.


Q: Can I create a Customer during GBP when QB sync items are required?

A: If your instance requires QuickBooks-synced customers for GBP, you must pick an existing synced Customer — you cannot create a new one during GBP. Make sure that synced Customer is approved (mandatory fields including Abbr filled) so it appears in the list.
