Related and Bound Documents in FCX

A related document is a document attached to the reference record using the action “Add Document” in the FCX desktop and “New document” in the web version of FCX. 


Add/New document action is our custom platform improvement to upload a document to a reference record as related document. So, all document that uploaded using these actions — related documents. You can view them with the Related Documents action in a reference card.


Related Documents action in a reference record always opens the list of documents in a web browser. This provides more stable experience with various documents previewers.


Because Conterrra platform (desktop version of FCX) uses the Internet Explorer as a default browser, it might cause problems with viewing Word, Excel documents. To avoid this, open a document in a FCX Web: using the Related documents in a reference record or one of dashboards.


The standard document search tool no longer supports the searching of related documents.
Related documents are stored in a separate storage, viewed in a web browser and can be searched only: on the Documents tab in a BP card (web, desktop), in the related documents list opened with the same name action.



Bound documents is a standard platform feature. It also links a document with the reference record, but you can view bound documents only in the desktop version of FCX using Bound documents action itself. We do not show bound documents in the FCX web.

We highly recommend use this feature only if a reference doesn't support “Add document” action, such as Customer or Vendor cards.





What is Build Plan Related Documents

Build Plan Related Documents — documents added with a specific action “Add/New Document” to a Build Plan directly or to an object linked with this Build Plan, such as Budget, Project, Scenario, Site, Invoice, Sales Order, etc.


There are several varieties of documents related to Build Plan:

FSM Documents are documents uploaded to a Project, Scenario, Site, and Build Plan itself. 


Financial documents are documents related to a financial object like: CIM/VIM Invoice, Purchase Order CIM/VIM, Sales Order, Bill of Materials, COD, AdHoc Revenue and Expense, Budget.


To better understand BP Related Documents structure, let's look at scheme.



Access to Documents

1. FSMBPManagers, Administrators user groups can view, upload, publish/unpublish FSM documents. Also, can change BP document kind.


2. Employee with finance access, Administrators can view, upload, publish/unpublish Financial documents.

3. The author of COD documents can also view their documents.


4. Published documents (FSM and Financial) are visible for all users (Field Crews too).


5. A User with privilege “delete document” can delete any document.





View Related Documents

Open documents related to a BP in convenient way:

  • Status Dashboard → select a BP → go to the Document tab
  • Daily Dashboard → select a BP → go to the Document tab
  • WIP Dashboard → select a BP → go to the Document tab 
  • Build Plans reference → open a Build Plan card

Upload Documents and Publish

Upload a BP document using the BP card (web or desktop): open a BP in any dashboard (Status, Daily, Close-Out) or open a BP card in the reference.


You can also specify a document kind. The selection is from the Build Plan Document Kinds reference. This list can be customized: add the required BP document kinds.


Upload a document using the object's card like Project, Scenario, Invoice, BOM and so on.





Publish Documents

Publish documents while uploading. Or open the documents viewer and use the Publish function there.

View who can publish FSM and Financial documents in the section above.

 





Context Menu (Download/Delete/Change Kind)

Right-click on a document to open a context menu.

Upload new File — upload a new file instead of the old one.

Change Kind — change the kind of the Build Plan document. Available to:

  • the document author
  • and for those who can publish/unpublish a document (have appropriate rights to FSM or Financial Documents).

 Delete option is available only for users with privilege “delete document”. It is configurable part.
