How Time Entry is created

When the system generates Time Entries:

1. Clock In, Clock Out, Check In TEs  — when an Employee makes a clock-in or checks-in in the FCX app.

2. Stop, Drive, Lunch, No GPS, NA, Office TEs — during Time Keeping processing. Usually, the processing runs each day in the early morning and handles data for past days.

3. Force or Remote Clock Out — when clocked-in device sends incorrect GPS data due to problems with low battery, poor GPS signal, app restriction settings.

All these are Event field in Time Entry. How the system identify Time Entry's Event, Cost Type, Location, Site, GPS Work Order depends on specific rules in Time Keeping processing

When the system completed with TK processing, you can check all Time card Time Entries.

Open Time Card Time Entries and order them by time for easy of use.

Time Entry Card

1. Work (hr) represent the total clocked hours of this period of time.

2. Approved hours are final total hours for this period of time. These hours can be changed by audits.

3. Start and Finish of the Time Entry.

Local time is the time received from the clocked-in device. The original timeline is based on local time.

Server Time — time converted to server time.

 4. Location is filled in by the Location where the clocked-in Employee was at this period of time.

5. Site shows if the clocked-in Employee was on scheduled Site at this period of time.

6. A Site Work Order  (formerly GPS Work Order) is filled in if the clocked-in Employee was at a scheduled GPS Work Order (Site that has a determined geo-fence radius) or at a scheduled Warehouse Work Order (for time spent at an Office/Warehouse location).

7. GPS State field – filled by the TK Processing script only for Stop, Drive, Lunch Time Entries based on GPS coordinates. Only if using GPS States is enabled in your instance.

8. Work Order Allocation Table shows how the Time Entry time allocated between scheduled Work Orders.

This happens if the Employee has multiple scheduled Work Orders for one Site. The Employee manually distributes the unallocated time between available GPS Work Orders. Warehouse Work Orders are allocated proportionally.

To be able to allocate time manually, you should set up the "Requires WO Allocation" Employee role.

9. It shows the device from which the Employee clocked-in.

10. Unscheduled Visit shows if a Stop Time Entry is located within a radius of Site for unscheduled visit.

Make changes in Time Entry to adjust Time Card hours

Time Entries are not available for manual changes. To correct the Time Card original timeline, use the Time Card adjustment interface. Read more about the interface.

You can also make changes directly in the payroll allocation table in Time Card. Read about this here.
