Who Can be Prompted to Manually Allocate Their Day?

An Employee can only be prompted to manually allocate their day if  the “Requires WO Allocation” Role is configured for it. Check the Employee Login card for the Employee.




How to determine if Employee is Non-GPS or GPS?

Allocation Rules differ for GPS and Non-GPS Employees.

2 criteria, both of which are required for the Employee to be Non-GPS:

  • “Fixed Location” Role 
  • “Wall” or “Non-GPS” device registered for and used with FCX Mobile App. 

Employees are GPS by default. Employee can only be GPS if they have neither:

  • Salary
  • Fixed Location

The Asset may not be identified with the Employee’s name / phone number. If it is not, check his or her recent Time Entry for the Device. 

If the Asset has an Asset Category of “Wall Device” or “Non-GPS” the Employee is not a GPS Employee.





What Causes Employees to be Prompted to Allocate?

A Non-GPS Employee is always prompted to Allocate if they have the “Requires WO Allocation” Role on their Login card.

2 exceptions:

  • A TAR for the day is pending review.
  • The day was pre-entered as Time-Off by a TKA.

A GPS Employee is prompted to allocate their day under several conditions:

  • They are assigned the “Requires WO Allocation” Role on their Login card.
  • A TAR for the day is NOT pending review.
  • The day was NOT pre-entered as Time-Off by a TKA.
  • If some time from the day cannot be automatically allocated.


Conditions Required for Auto Allocation

When / Under What Conditions Can Time be Auto Allocated:

  1. GPS Employee
  2. Site Geofence Radius > 0 m
  3. Adequate GPS data was collected for a given time period. (Too large a gap in data can prevent extrapolation.)
  4. The device stopped inside a known Site geofence.
  5. The device stopped inside a known “Office/Warehouse” Location and there is at least one scheduled Work Order of the Work Type Warehouse.

When / Under What Conditions Can Time NOT be Auto Allocated:

  1. Site Geofence Radius = 0 m
  2. Inadequate GPS data due to problems with:
    • Poor signal
    • Battery dying (battery policy non-compliance by Employee)
    • App force-closed and phone stationary for a long time.
  3. Device did NOT stop inside a Geofence (Site or Location).
  4. More than 1 WO of the Work Type Site scheduled for exact same Site for a given Employee and day.
  5. GPS Employee with “Non-Dispatch” Role.


“Non-Dispatch” Role

There is another Login “Role” besides “Fixed Location” which affects Allocation: “Non-Dispatch”. Despite the name, “Non-Dispatch” Employees can be Dispatched, they just don't have to. 

Usually, Non-Dispatch Employees are also Non-GPS, but not always.




The 1 Site, 2 Work Orders Rule

Time CANNOT be allocated automatically if 2 WOs of work type Site are scheduled for the same Site and Day for Employee. The system requires manual input as to what time should go to one WO vs. the other.


Time CAN be allocated automatically if 2 WOs of work type Warehouse are scheduled for the same Site and Day for Employee. All hours spent within an “Ofiice/Warehouse” Location will be shared proportionally between these WOs.


Time STILL Auto Allocated for OVERLAPPING Geofences for Same Time and Employee.

The system has a way of guessing which overlapping Site applies to a recorded stop:

  1. The system measures the mean distance from valid stop points to the Geofence centers of Sites applicable to the time block.
  2. It creates a priority list based on distance.
  3. The Site with the most stop points gets allocated-to.
NOTE
If On-Site time is interrupted with drive, WH, etc., each On-Site time block is assessed separately to determine allocation.


Authorized GPS Employee Will ALWAYS Allocate if NO Geofence Broken.

Without a geofence being broken, the system cannot assume any WO was or was not worked-on.


Authorized GPS Employee Will NEVER Allocate if Only One Geofence Broken.

If a Geofence was broken, all time can be allocated to that Site. If there is no second Geofence broken, there is not conflict and all time goes to the single Site.

IMPORTANT
Even if a second WO was Published to the Employee for the given day, they will NOT have the option to Manually Allocate to it if they only broke one geofence.
