TABLE OF CONTENTS


With the FieldClix app, you can browse your working calendar, record your vacation, sick leave, and time off, send a time adjustment request and monitor your Time Cards completion.

To get access to the above-mentioned, you should open the Time Keeping module in the app.





Balance

The Balance menu is a custom feature. It can be turned on or off depending on client preferences. Read more about how these hours are calculated in a separate article.






Time Card Calendar

We display in the Time Card Calendar Employee's workdays with the information of working hours, show the resolution status of requests and Time Cards. Here you can find a detailed explanation of each day's Time Card details.

We show data of Time Cards for open payroll periods as well as for the following month in the calendar.





Time Card

In Time Card details we store very comprehensive information:

  • We show Employee day log: when he clocked in/out, at what Locations and Sites he was.
  • What the actual hours are.
  • How many actual hours have been approved by the TK Administrator.
  • How many hours an Employee should allocate manually. For example, if the Employee has two Work Orders for one Site.
  • Here you look through your Time Keeping Requests.
  • And what is more, you can monitor your Time Cards completion.

The information about day log activity, actual and approved hours is available the morning after that day. 




You are Responsible for Your Own Time – Policy:

  • Use the Time Sheet Calendar in the FCX App to keep track of your time. 
  • Each day’s Time Card shows you the hours recorded and the hours approved.
  • If you see any lines with 0 hours, it means you tripped an Audit: Your Time Card is under review.
  • If you see a problem with your Time Cards, you can submit a Time Adjustment Request (TAR) via FCX App to correct it.






Payroll Calendar

Time Card and Payroll Calendars help you to check your Time Cards each day: you are responsible for the accuracy of your timesheet. If you see something wrong, you can submit a TAR to correct it.

Open the payroll period information through the Time Card Calendar.







Time Keeping Requests

In the FCX system we have several types of Time Keeping requests:

  1. Time Adjustment request ‒ to make adjustment in Time Card on the selected day.
  2. Miscellaneous  ‒ request of per day expenses such as per diem or travel for a specific Work Order.
  3. Time off ‒ to ask for time off for a certain reason on the said day.

How to send Time Keeping request

We use the FCX app (mobile or browser version) to send a Time Keeping request. 

  1. Open the Time Keeping Module 
  2. Open a Time Card using the Calendar.
  3. Go to the Requests tab.
  4. Create a request.


You can create different types of requests for one day. However, there can be only one TAR and Time Off request per day.


The system will create a Time Card after a request sent if there is no Time Card for the request's day.

What type of requests is available in the FCX app is customized and can be configured for each client. 





Work Orders list in TAR and Misc Requests

The list of available Work Orders for both TARs and Misc requests includes:

  1. All active Work Orders allowed for manual allocation (appropriate checkbox is active in the WO Type) and scheduled for the selected day + WOs with the same WO type abbreviation as scheduled.
  2. For an Employee with the Non-Dispatch Role, all active Shadow Work Orders (Allow Dispatch checkbox is NO in the WO Type card) + also allowed for manual allocation, if the Employee is set in a Build Plan:
  • as a Build Plan Owner
  • as a Project Role Member
  • as an allowed time allocation Employee




Time Adjustment Request

Use TARs in FCX App to correct time. The CM team and Time Keeping Administrator (TKA) will not accept TARs that are not submitted through the system.

To ensure proper processing, your TAR should include all the following:

  • Clock-In time
  • Clock-Out time (make sure you specify am or pm!)
  • Lunch start and stop time
  • All Sites worked-on that day
  • Crew(s) you worked with
  • PM/CM you worked for
  • Explanation of problem with time and requested change.

If your TAR does not provide enough information, it may be rejected.

  • You will receive a notification explaining why. Read the notification for tips on how to get your TAR approved.
  • You may resubmit up to COB Monday for the previous week.

Only one TAR can be in-process per Time Card. If a Mobile App user attempts to submit a 2nd TAR for a Time Card which currently has one unresolved, he or she will receive an error message explaining that they cannot do this.

 

If a user fill in all TAR details, a TK Advanced Reviewer or TK Administrator can create a Time Card adjustment to apply requested changes.




Miscellaneous Request (mileage, reimbursement, per diem)



The Work Order field is visible only when the payroll item is set to “Do not use non work WO”.






Time Off



























If you are creating a Time Off request for a single day, you must fill in the Date From field. Leave the Date To field blank.

If you are creating a Time Off request for several days, fill in both the Date From and Date To fields.





Reply on Solicited Request

A Reviewer or TK Administrator can ask an Employee to create a TK request. They use the Solicit option in the Time Card Review interface.


This action creates a TK request of the selected type (TAR, Time Off or Miscellaneous) and displays the request in the Employee's payroll calendar on the mobile app.


The App will require the employee to submit the solicited TK Request before they can clock-in on their next shift. They will be told which day requires the Request on the Clock-In/Out screen as shown below:



To respond to the Request Solicitation:

  1. Open the Calendar in the app and find solicited requests (they are marked with red dot).
  2. Click on the required day → go to the Requests tab.
  3. Find the solicited request and reply to it (click ).
  4. This opens the TK request window.
  5. Fill in all details such as clock-in/clock-out hours, allocated WOs, comments, a reason for time off. It depends on the type of the solicited request.
  6. Submit the request (click ).

The request moves to the pending and waiting for resolving (to approve/reject/complete) by the Reviewer or TKA.

 

Note, that if there is a solicited request for a day:
• a Reviewer or TKA cannot create another one of that type.
• an Employee cannot create another request for that day until replies to the solicited one.







Revoke TK Request

You can delete pending TK requests in the app. Go to the list of requests for a particular day and click to revoke a request. Please note that you cannot delete pending requests that were previously solicited.


Conversely, a Reviewer or TK Administrator can delete a solicited request that you have not yet responded to.
