Time Card Reviewer Determination

Who reviews Time Cards

Time Card Reviewer determination is a technical adjustment, and it is set up in the "Approval Processes Configuration” reference. For better understanding how the system calculates a Reviewer for a Time Card, let look at the logic.

1 STEP — Take an Employee's Time Card

2 STEP —  Check the scheduled Work Orders.

If there are Dispatches scheduled for the TC's date and at least one of the Dispatches has a Crew Container with the filled Owner → take that Owner as the TC's Reviewer. If not → go to the step 3.

3 STEP —  Check for the default WO in the Employee's Time Keeping Configuration card.

If there is a default Work Order in the Employee's TK Configuration card, then the system assigns the Employee's Supervisor as a Reviewer.

4 STEP —  Determine a Build Plan.

The Build Plan is required to get a Reviewer from the Build Plan Card. To calculate the Build Plan, the system checks several objects related to a Time Card in the next order:

A. Foremost on this step, the system checks Time Card's payroll allocation and selects the WO with majority allocation. If allocated time is the same, then it takes the first available (random) Work Order.

B. If the payroll allocation table is empty in the Time Card, it checks actual allocation: whether the Time Card has Time Entries, which actual (work) hours are more than 0 and the allocated/GPS WOs are not empty.

  • Then we determine the Work Order with a majority of allocation. To do this, the system sums hours over allocated WO in Time Entries, otherwise totals hours by GPS WO in the Time Entries.
  • Again, if allocated time is the same, then it takes the first available (random) Work Order.

C. If there are no Time Entries with allocation, it takes a Work Order from the first available (random) scheduled Dispatch.

D. If there is a calculation specification for Time Card Reviewer, it checks whether the determined Work Order corresponds to the specified combination of Region, Market, Project, Scenario, and Work Order.

E. Once we know a Work Order, we can determine a Build Plan.

The “Calculation Specification” reference is available to users of the “Project Library Managers” group.

4 STEP — Calculate a Reviewer

If the third step determines a Build Plan, it will assign a Reviewer according to the following priority:

Otherwise, if the system cannot determine a Build Plan or calculate the Reviewer from the BP's Project Role or from the BP Owner, it will refer to another priority:

*If the calculated Reviewer is closed or equal to a Time Card Employee, the system will take the Reviewer from the next object on the scheme (BP Owner, Supervisor and so on).

When Time Card Reviewer is determined

On the scheme below, we describe when a Time Card Reviewer is calculated.

1. Reviewer Determination Logic is set in the Approval Processes Configuration.
2. Action 'Show Approvers' in Time Card recalculates a Reviewer and displays the result, after which you can change requisite manually.
3. If you make alterations to Allocated WO in TEs manually, the Reviewer Calculation won't be started.
