Cancel Scheduled Dispatch for a Work Order

Details

When the field service Project Management (PM) Team changes the plan for a dispatch, it is essential that they also change those details in FieldCLIX. Two key reasons for this:

  • Notification to Crew: Yes, you should notify your crew via direct communication (call/txt) for last-minute changes to the schedule. BUT, the primary source of notification of changes should be FieldCLIX.
  • Accurate Record: If you do not update the Dispatch Schedule according to your changes, in the future, when other team members try to figure out what happened on that day, the unchanged schedule will confuse them.


BEST PRACTICES
For dispatch changes:
1.  If at all possible, update the Dispatch Schedule in FieldCLIX BEFORE contacting the crew directly. Obviously you only need to contact the crew directly if the change is last-minute and, even then, FieldCLIX should be updated first if at all possible.
2.  Make sure you update the Dispatch Schedule as soon as possible after changing plans. You MUST make the update before the end of the day of that dispatch or the record will not be able to be changed. 


Dispatch changes, of course, include dispatch cancellations. There is a separate Dispatch Schedule card for every day you put the WO on the schedule, and any one of these cards can be cancelled without changing the others.


With that in mind: below is a description of how to execute this cancellation.





How to Cancel a Dispatch Scheduled for a Work Order

You need to open the Dispatch Calendar Dashboard which hold Dispatches schedule for WOs.


You have “Build Plan Owner (BPO)” level access, meaning you must be able to schedule WOs in order to be allowed to cancel their schedules.


1. Open the Dispatch Calendar.


2. Select the WO/Day indicated by the rectangle on the scheduled date containing the Site ID.

You can cancel scheduled days colored either orange or blue:

  • Orange means scheduled, but not published.
  • Blue means scheduled and published.

3. Right-click the Dispatch in the calendar to open a context menu.

4. Select "Delete" option to:

  • cancel published Dispatches
  • delete not published Dispatches.



NOTE
You can only cancel a published Dispatch Schedule for a current or future date.
• You cannot change in any way (including cancellation) a past date Dispatch Schedule card.
• You can delete a past date Dispatch Schedule card ONLY if it was not published.
• If you try to save changes to a past date Dispatch Schedule, you will receive an error message.




Cancellation Notifications

Notification are sent to all crew members if you cancel a published Dispatch. While no notification is sent for not published Dispatches.

After you cancel a Dispatch Schedule, the corresponding rectangle on the calendar turns gray.
