Exciting Updates to Time Keeping Processing
Dear Fieldclix Customers,
We're pleased to share a major update to our Time Keeping Processing system! These improvements are designed to make everything run more stably, smoothly, and quickly behind the scenes. We'd love to walk you through the key changes and what they mean for you.

Key Changes at a Glance
Time Card Processing Now Happens After Clock Out
The core logic remains familiar, but we've refined the process for better accuracy:
Once an employee clocks out, GPS data is processed, the original GPS timeline is generated, Work Orders are allocated, mileage is calculated, and audits are run to flag issues like unauthorized time, stationary time at unauthorized locations, unknown allocations, and more.
A major benefit: Employees who clock out can immediately view their processed Time Card in the mobile app. They can manually allocate Work Orders if needed (e.g., when multiple scheduled Work Orders apply to a single site) or submit a Time Adjustment request for reviewer approval.

New "Not Ready to Review" Flag
This helpful chip on a Time Card indicates that the shift or day is incomplete, or the system is still syncing GPS data.
Time Cards with this status (and no active review requests) are hidden from the Time Cards Review interface but remain visible in the Time Cards dashboard.
As a result, Time Cards are available for review in the Review interface — typically by 6:00 AM in the client’s time zone.
Once the shift ends and all data syncs, the chip disappears, and the Time Card becomes available for review.

Audit Rules and Results
Audit Rules have moved to a dedicated Audit Settings dashboard (currently accessible only to our team). We've pre-configured these based on your existing rules to ensure seamless continuity.
Audit results are now in a separate Audit Results dashboard, built on the modern AG Grid for better performance.

Lunch Settings
Lunch rules have been centralized in the new Employee Categories dashboard:
This is now the single place to configure auto-lunch deductions or manual lunch requirements—specific to each employee category.
Individual employee overrides are no longer supported; rules follow the assigned category.
Old lunch settings in the desktop Time Keeping Configuration reference are deprecated. We've migrated all existing rules to the Employee Categories dashboard.
(The Employee Categories dashboard is currently managed by our team and will be opened to clients soon.)

Updated Meal Premium Logic
Meal Premium is no longer treated as a "Reason." It's now displayed as a separate chip and stored in its own dedicated field on the Time Card.
If configured, calculated Meal Premium hours appear next to the GPS timeline, clearly showing additions to the Payroll Allocation table.
Meal Premium hours are applied to the specific part of the shift where the condition was met (e.g., late or missed meal break).
Example:
Consider an overnight shift spanning December 17–18, 2025, with 6 hours worked on the evening of December 17 and 5 hours on the morning of December 18. If the first lunch is taken late — at the 5-hour 30-minute mark — a 1-hour Meal Premium will be added to the evening portion of the shift, appearing on the December 17, 2025 Time Card.
How to Adjust Meal Premium Hours
Remove Meal Premium action: Creates an adjustment that clears the hours, allowing you to save and apply changes.
Time Card Adjustment interface: Manually increase, decrease, or remove hours as needed
Handling Historical Meal Premium Data
To maintain clarity in existing Time Cards, we've updated the "Reason: Meal Premium #hr" chip by marking it as obsolete (e.g., displaying as "Reason: Meal Premium #hr (obsolete)"). This indicates that the old "Meal Premium" Reason is no longer in use.
What happens if you reprocess an affected Time Card?
Everything works seamlessly—the obsolete Reason will be automatically cleared, and the system will recalculate the Meal Premium hours, adding them to the new dedicated field as expected.
Streamlined Payroll Period Closure
We've simplified the Payroll Period Closure process by merging the former 3rd step ("Payroll Audit Review") into the 2nd step ("Payroll Data Review").
During this combined 2nd step, the system now automatically performs comprehensive checks, including:
Completion of Time Cards and Time Keeping (TK) Requests
Missing Work Order Allocations, Cost Types, and Payroll Items
Additionally, Time Card Payroll Allocations are recalculated, and qualifying payroll checks are marked as "Ready to Sync to Payroll".
